Advanced Reports – Take Lead Reporting to the Next Level

IRIS CRM is thrilled to announce the release of our new Advanced Reports widget for taking your lead reporting to the next level.

Our new Advanced Reports widget combines lead filtering functionality from existing components with brand new features in the new user interface for a powerful, all-in-one reporting tool.  

Users can create complex, multi-tiered searches in order to whittle down their leads to highly specific cross sections to meet all of their reporting needs. There is no longer a limitation to searching only one lead field at a time. Instead, users can search the values of any number of lead fields. We’ve also included date field values in the filter parameters, such as the deal date for bonus payouts or accurate closed deal tracking. 

The added ability to combine filters with AND/OR operators provides more ways to tailor your lead searches. Plus, after you’ve gone through the effort of carefully crafting your search, you can use our new Saved Views functionality to easily search with the same filters in the future. Views make recurring reporting simple, removing the need for manual input each and every time you need to know about a specific subset of your leads. 

In order to make recurring reporting even more functional, we also added the ability to schedule reports using your Saved Views. Reports are sent by email on a customizable schedule. For example, you will be able to create a report of the leads that were created in the previous week and send it to your Sales Manager to make sure the leads are progressing through the sales funnel accordingly.

Advanced Filters

The Advanced Reports widget offers a much broader array of filtering options than previously available in any one search tool in IRIS CRM. Not only can you search by the characteristics of a lead such as status and group, it is now possible to search by activities such as the last call or email with the lead. 

Here is the full list of search criteria now offered by the Advanced Reports widget:

  • Created or updated date
  • Lead field
  • Status
  • Group
  • Campaign
  • Source
  • User
  • Proposal
  • Event
  • Call
  • SMS
  • Email

What makes the new reporting functionality so powerful, in addition to having more search options, is the ability to combine numerous search criteria using AND/OR operators to provide precise results.

On the Advanced Reports widget, click the Filters button in the top right of the table to begin refining your lead search results.

The first section of the Filter Leads pop-up is where you will start adding criteria to search by. Based on your selection, each option has subsequent ways it can be configured such as looking for leads updated by specific people or whether it does or doesn’t match the search value.

Once you’ve entered your first search parameter, you can proceed with adding more using AND/OR operators to receive highly specific results. Use the directional icon on each filter to update the way the arguments are considered in your search.

In the second section, you’ll find the Report Columns configuration where you can select which data to show for the returned lead results. We’ve broken the column selection into 3 types –  Fields, Events, and Properties. After columns are selected, they can be reordered  by clicking the tile icon and dragging them to the desired position.

Columns can also be selected or deselected on the main table by clicking the gear icon and checking/unchecking the values, respectively. To reorder columns on the main results table, click and drag the column to the desired location. If you already have a Saved View selected, your updated column order will automatically be saved for the View.

After you’ve selected the exact filters for the lead search you want to perform, save the filters as a View so you can use the same filters repeatedly without having to manually apply them over and over again for searches you know you will do more than once. The new Saved Views functionality will save you time when analyzing your leads as well as ensure that you are comparing apples-to-apples each time you generate the same report.

To save your filters as a View, use the text field in the top left of the filter pop-up to name the view. You can then save the applied filters by clicking Save View next to where you named it, or Save View & Search in the bottom right which will save the View, close out the filter pop-up, and return the matching results.

If you just want to do a quick filter and not save it as a view, click Search Without Saving in the bottom right.

Set Default View

After creating your first View, you can set it as your default View by clicking Set As Default at the top of the pop-up. Your default View will be the lead results you see each time you come back to the Advanced Reports widget. You can only have one default and it can be updated by setting any other view as the default or deselecting it by clicking Un-Set Default in the pop-up.

Edit an Existing View

When making changes to a View’s filters, we’ve included two options for saving your changes, Save View As… and Save View. 

Save View will save your changes to the current view and update it going forward. Save View As… allows you to save the changes as a completely new view in order to save time when creating a new, but similar view to one you already have.

Use Your Views

Now that you’ve updated your filters and created all of the Saved Views you need, put them to use in the Advanced Reports widget. Select the View you want to see in the dropdown at the top of the table.

A gold star indicates which view is your default. If a view has a scheduled report, it will indicate the frequency of the report below the View’s name. A red information icon indicates that the View’s scheduled report has expired in case you want to update it to keep occurring.

While viewing your filtered leads, you can look for specific leads using the search bar in the top right of the table. If you’re searching a date field, make sure to use the full date (MM/DD/YYYY) format, partial date searches won’t work.

Scheduled Reports

When you’ve created a View that you are using to generate a report on a regular basis, it is now possible to send the results to yourself or others using Scheduled Reports. To do so, click Create Scheduled Report in the bottom left of the filter pop-up.

Here you can select when it will start, repeat, stop sending (if ever), and the users or external email addresses to send the report to. When the report triggers, the recipients will receive an email with a link to download an XLSX file of the leads returned from the View.
